Tenancies, deposits and right to rent
Deposits, right to rent and rent history in one place
Certificates belong to the property. Deposits, right to rent checks and rent belong to the tenancy, and they have deadlines of their own. Add a tenancy and we track all of it, then keep the history when tenants move on.

What it keeps track of
Deposit protection
Add the date you took the deposit and we count down the 30 days you have to protect it, with reminders, until you add the date it was protected.
Prescribed information
The same 30-day deadline for giving tenants the scheme's information, tracked on its own so it isn't forgotten.
Right to rent
Each adult tenant's check. For time-limited permission, a follow-up on the later of 12 months after the check or when their permission ends.
Rent history
Every rent change on record, with any rise less than 12 months after the last one flagged, and a link to the rules on Form 4A.
Move-in paperwork
When the alarms were checked and you gave the gas record, electrical report, EPC and written terms. Your evidence if a court or council ever asks.
Notes and tenants
Dated notes for repairs, inspections and conversations, and a page for each tenant, current and past, with their tenancy and history.
Why these matter
Under the Renters' Rights Act, getting your property back depends on having done things properly. An unprotected deposit can stop a possession claim and lead to a penalty of up to 3 times the deposit. Missing right to rent checks can mean a fine of up to £10,000 for each occupier. And rent can only rise once every 12 months. Keeping the dates and the paper trail together is what protects you.

Questions landlords ask
Does a tenancy's deposit count against the property?
Its deadlines show with the property's other items, so you see everything in one place, but they belong to the tenancy. When a tenancy ends, its deposit and right to rent items stop, and its history stays.
What if I didn't take a deposit?
Tick "No deposit was taken" and there's nothing to track.
How do right to rent follow-ups work?
For someone with time-limited permission, the follow-up is due on the later of 12 months after your last check or the day their permission ends. For someone with no time limit, there's no follow-up.
Do my tenants see any of this?
Not unless you're on Pro and invite them to the tenant portal. Even then they see their certificates and deposit protection details, not your notes, rent history or other tenants.
